Managing Inactive Customers

This article explains how Billing Manager handles customers who have been deactivated, and shows you how to view, filter, and bill those customers without reactivating them.

Viewing active and inactive customers

Billing Manager separates your customer list by status so you can find active and deactivated customers quickly.

  1. Open the Customers tab.
  2. Use the Active and Inactive filters in the top-left to switch between customer statuses.
  3. Select Active to see customers who are currently active.
  4. Select Inactive to see customers who have been deactivated.

Inactive customer records are view-only. You can review their information, but you can't edit it.

Filtering charges by customer status

You can filter the Charges tab by customer status to make it easier to find the customer you're looking for.

  1. Open the Charges tab.
  2. Use the status dropdown or toggle to switch between Active customers and Inactive customers.

The Charges tab defaults to showing inactive customers.

Creating charges for inactive customers

You can create a charge for a customer even if that customer is currently inactive. This is useful when you need to bill a customer after they've closed out, such as for a final ad hoc charge or a charge created months after the account was closed.

  1. Filter the Charges tab to Inactive customers.
  2. Find the customer and create the charge.
  3. Invoice the charge as you normally would.

The customer stays inactive throughout this process. You don't need to reactivate them to bill them.

Filtering invoices by customer status

The Invoices tab works the same way as the Charges tab, letting you review historical invoices for customers who are no longer active.

  1. Open the Invoices tab.
  2. Use the toggle to switch between Active customer invoices and Inactive customer invoices.
  3. Select Inactive customer invoices, then search for the customer to review their invoice history.
