Using Billing Manager Reports and Exports

Billing Manager provides several reports and exports to help you review and analyze billing data. You can export customer rates, review transaction activity, download detailed charge data, and view charge adjustments.

Before you begin

  • You must have access to Billing Manager
  • All exports download as .CSV files
  • Some reports require you to select a customer and time period
  • For charge exports, you must select one or more charge rows

Export customer rates

Use this export to view all rates assigned to a customer.

Steps

  1. Go to Customers.
  2. Select a customer.
  3. In the customer panel, select Download all rates. The file downloads automatically.

What’s included in the export?

  • Customer name
  • Warehouse name
  • Rate name
  • Charge label
  • Class and category
  • Transaction type
  • Charge and minimum charge amounts
  • Description
  • Rate ID
 
 

Each rate appears as a separate row. For example, 1 rate sheet with 10 rates and 3 individual rates will export as 13 rows.

 

Transaction Register report

Use this report to review transaction-level charges for a specific customer and month.

Steps

  1. Go to Analytics.
  2. Select Transaction Register Report.
  3. Choose a Customer.
  4. Select Year and Month.
  5. Click Generate Report.

What’s included in the report?

  • Customer

  • Transaction type 
  • Transaction number
  • Customer reference ID
  • PO number
  • Tracking number
  • Quantities (in/out)
  • Handling amount
  • Auto handling amount

You get a CSV file showing all transactions for the selected period, including those with no charges.

 

Export Charges Data

Use this export to download detailed charge-level data for analysis or reconciliation.

Steps

  1. Go to Charges.
  2. Select a customer (or leave as All Customers).
  3. Apply filters as needed (such as date range, status, invoice number, warehouse, date range, category, or transaction ID). 
  4. Select one or more charge rows.
  5. Click the three-dot menu.
  6. Select Export selected. A CSV file downloads with the selected charge data.

You can filter the Charges table before exporting. The export only includes the rows selected from the filtered results.

This export is useful when you need raw charge data for external review, spreadsheet analysis, or reconciliation.

 

View charge adjustments and history

Billing Manager does not have a dedicated charge history report, but charge-level history is available from the Charges table.

Steps

  1. Go to Charges.
  2. Select a charge row.
  3. Review the details panel.
  4. Review the Adjustments and Change History sections.

Adjustments

The Adjustments section shows specific changes made to charge amounts.

Adjustment details can include:

  • Date changed
  • Time changed
  • User who made the change
  • Previous value
  • Updated value

Example adjustment details may show changes such as:

  • Total changed from 12 to 18
  • Charge amount changed from 4 to 6

Change History

The Change History section shows logged updates made to the charge.

Change history includes:

  • Date changed
  • Time changed
  • User who made the change
  • Required note entered by the user

Limitations

  • Adjustments include before-and-after values for charge amount changes
  • Other changes (such as SKU, PO number, or weight) may not show structured before-and-after values. These changes are recorded in the history notes
