Creating a Scheduled Flat Charge Rate

This article guides you through the steps of setting up a scheduled flat charge such as Admin Fee, Software Fee, Utility Fee, etc.

How to set up scheduled flat charges

This guide walks you through creating Scheduled Flat Charges with step-by-step instructions. 

  1. Open Billing Manager.
  2. Click Rates > Rate List.
  3. Click Create Rate in the upper right corner. 
  4. Scroll down to the For Recurring Rates section, select the option for Scheduled Flat Charge.
  5. Enter basic information. 
    1. Rate Name – How you refer to the rate internally within your organization.
    2. Rate Description – Additional details about what the rate is. (You may copy and paste the Rate Name into this field if you do not have a more detailed description.)
    3. Transaction Type – Select an option from the dropdown.
    4. Charge Category – Select an option from the dropdown.
    5. Charge Label (Invoice Display Name) – The label that will appear on customer invoices.
  6. Enter the charge amount in dollars for this fee.
  7.  Select the schedule you would like to apply for how frequently this charge should occur. 
    • Weekly On – Applies the charge once per week on the selected day of the week.
    • Monthly On – Applies the charge once per month on the selected day of the month. Available day options are 1–28 or Last.
    • Semi-Monthly On – Applies the charge twice per month on specified days. The second day in the sequence is automatically set to occur 14 days after the first.

      For example:
      a. If the 1st day of the month is selected, the 15th will automatically be used as the second day.
      b. the 3rd day is selected, the 17th will automatically be used as the second day.
  8. Click Finish & Save
  9. (Optional) Before your rate is created, you will have the option to add your Scheduled Flat Rate to a Rate Sheet. 
    Select the rate sheet you would like to apply the rate to. If you do not wish to add the new rate to a rate sheet, click Skip. Rates can also be added to a rate sheet later.

    Completed Setup

    You will now see your Scheduled Flat Rate within your Rate List.
