This article covers how to ask questions in Extensiv AI and how to get the best results.

Opening the Chat

Click the sparkle icon in the top-right of the Hub navigation bar. The chat panel slides in from the right.

Choosing a Mode

Before typing your question, set the mode selector to match your question type:

  • Knowledge — searches the Extensiv Help Center and any SOPs or guides your admin has uploaded. Use this for process and how-to questions.
  • Data — queries your live operational data. Use this for questions about your orders, inventory, receipts, returns, and more. See What is Extensiv AI? for the full list of data domains.

Asking a data question in Knowledge mode (or vice versa) returns an error. If a question fails, check the mode first.

Data mode, custom knowledge uploads, and the Prompts Library are included in paid Extensiv AI plans. To upgrade your plan, contact your Customer Success Manager.

Asking Questions

Type your question in plain language. Examples:

Knowledge questions:

  • How do I create a receipt?
  • What is the process for handling a return?

Data questions:

  • How many open orders do I have today?
  • Which SKUs are below minimum stock for Acme Corp?
  • Show me orders shipped last week by carrier.

Tips for Better Results

  • Be specific. "How do I create returns in 3PL Warehouse Manager?" works better than "returns in warehouse."
  • Say which date you mean. "Orders created last week" and "orders shipped last week" use different dates. If you don't specify, Extensiv AI uses the most common date for that record type — for example, the order creation date for orders.
  • Ask one question at a time. Single questions work better than multi-part prompts. Include all the relevant details — customer name, SKU, date range — in the question itself.
  • Rephrase if needed. If the answer misses, a small wording change often fixes it.
  • Give feedback. Use the thumbs up/down buttons on any response — feedback goes directly to the Extensiv team and shapes improvements.
