Managing Serial Numbers in Rapid Receiving

This article explains how Rapid Receiving in SmartScan handles serial number entry and serial number matching when receiving against an ASN. Serial number behavior adapts based on item configuration and the quantity being received. Read Rapid Receiving in SmartScan for an overview of Rapid Receiving setup and workflow.
How serial number entry works
How you enter serial numbers in Rapid Receiving depends on the quantity of the line item being received.
When quantity is 1
If the expected quantity on the receipt or the specified quantity in Manage Receipts is 1, the Add/Edit Receive Item modal displays a standard Serial Number field that accepts a single value.
- The Quantity field is set to 1 and cannot be changed.
- If the item is configured to require a serial number, the Serial Number field is required.
- If the item is not configured to require a serial number, the Serial Number field is optional.
When quantity is greater than 1
If the expected or specified quantity is greater than 1, the Quantity field is editable. The Serial Number field links to a secondary serial number entry modal where you can enter multiple serial numbers.
Scanning barcodes for serial numbers
Both the single Serial Number field and the secondary serial number modal support scanning multi-element barcodes, including GS1 and static barcode definitions. SmartScan automatically parses the serial number value from the barcode.
Serial number behavior by item configuration
How SmartScan presents serial number entry depends on how serial number tracking is configured on the item.

The roll-up view in SmartScan combines identical line items, same SKU and qualifier, excluding serial number into a single row. When roll-up view is enabled, quantities may be greater than 1 even for items configured as required-unique. In that case, the secondary serial number modal is used. See Receiving with SmartScan for more information about the roll-up view.
Receiving serialized items against an ASN
When receiving an ASN that contains items with required-unique serial numbers, SmartScan matches the scanned serial number against the expected ASN lines.
Auto-receiving a matching ASN line
If you scan a serial number that is not associated with the currently open line item, but does match a different unreceived line item with the same SKU in the ASN, SmartScan automatically receives the line item associated with that serial number. The currently open line item remains unreceived.
This matching occurs when you tap Done or when auto-add triggers the save.
This auto-receive behavior applies only to items configured with serial numbers that are required and unique.
Receiving unexpected serialized items
If you scan a serial number that does not exist on the ASN for the current SKU, SmartScan displays the message "Unexpected item received" and receives the inventory as a new line item. The new line item is marked as a variance, following standard ASN variance logic.
