Integrating Warehouse Manager and Order Manager

Before setting up the integration, log in to Warehouse Manager Classic, go to System > Settings, select the Require Source Warehouse checkbox, and click the Save Settings button.

In Order Manager, make sure that the warehouse has been created, and in Warehouse Manager, make sure that the company has been created and that the company name in Warehouse Manager is an exact match of the company name in Order Manager > Settings > Company Info.

Integrating Warehouse Manager and Order Manager

Step 1: Install the Warehouse Manager App from the Order Manager App Store.

Go to the Settings Module in Order Manager, click on Order Manager Apps from the menu on the left hand side of the screen, and search for the Warehouse Manager App. Once you’ve found the app, click the Install button to begin the setup process. After clicking the Install button, you’ll be redirected to the Manage Connections page to configure the integration settings.

Step 2: Configure the integration settings.

The following are the fields to fill:

Field

Data to Enter

Notes

Basic Info

License Name Descriptive summary for reference purposes only - does not drive functionality. Can be the same as License Description below Ex: Order Manager > Warehouse Manager
License Description Descriptive summary for reference purposes only - does not drive functionality. Can be the same as License Name above. Ex: Order Manager > Warehouse Manager
Token   This will be auto-populated and filled in when the app is downloaded to the customer’s Order Manager instance
Enabled   If Enabled, Warehouse Manager will be able to communicate back and forth with Order Manage

Integration Flow Settings

Set the Source Warehouse Enabled = checked
Disabled = unchecked
It is recommended that this feature is enabled so the origin (source) warehouse is listed on the SOs within Warehouse Manager. This will enforce removal of inventory from listed warehouse when picking orders.
Shipment Sync Direction Select from the dropdown This setting determines which side of the integration will generate tracking information to be synced to the other side.
Ex: If shipping label is generated in Order Manager then sync direction should be set to Order Manager to Warehouse Manager
Custom1 Value Select from the dropdown

Not required - selected field will update Custom 1 column of SO in Order Manager

Available WM fields include:

  • MarketplaceName
  • “Sent from topShelf”
  • WaveNumber
  • PickStatus
  • MasterDocNumber
  • CustomerPO
  • StoreName
  • CartName
  • DocumentID
  • DocNumber
  • ToteName
  • FromLocationName
Custom2 Value Select from the dropdown Not required - selected field will update Custom 2 column of SO in Order Manager
Custom3 Value Select from the dropdown Extensiv recommends adding Pick Status. Every time the pick status is updated in TS, it will update the SO in Order Manager to show the pick status in the Custom 3 field. If used, the customer should add Custom 3 as a column in the Order Manager Orders Module

Inventory Syncing

Push Warehouse Manager Inventory to Order Manager Enabled = checked
Disabled = unchecked
BIG RED BUTTON: this setting initiates inventory control from Warehouse Manager to Order Manager. If their Order Manager account is actively being used during implementation, this should be DISABLED. Once the customer is prepared for Go Live, enabling this feature will push inventory quantities from Warehouse Manager to Order Manager.
Push Warehouse Manager Allocated Qty into Locked Qty Enabled = checked
Disabled = unchecked
This is not typically utilized, but if enabled, the Allocated Qty in TS would push into Order Manager’s LOCKED column in the inventory module
Pull Inventory from Order Manager to Warehouse Manager Enabled = checked
Disabled = unchecked
One-time setup to pull existing Order Manager inventory into a brand new Warehouse Manager instance. This setting will disable itself after one run. This can not be performed if any inventory exists in Warehouse Manager. Inventory will be not be created for parts marked "Require Serial Number" or "Require Lot".

Warehouse Mapping

Auto-map ALL Warehouses from Order Manager to Warehouse Manager Enabled = checked
Disabled = unchecked
Pulls all warehouses from Order Manager into Warehouse Manager and links them. This setting will disable itself after one run.
Warehouse Mapping Select from dropdown Match Order Manager Warehouse to correct Warehouse Manager Warehouse. Orders (SO/PO/TO) and inventory will only sync to the listed mapped warehouse(s).

Point of Sale Location Setup

Point of Sale Location Setup Select Bin location from the dropdown Map the POS location to a POS bin for auto-decrementing of inventory

Step 3: Ensure correct Data Import/Mapping

Understanding Data Import/Mapping of the integration

The Warehouse Manager automatically syncs with the Order Manager every 10 minutes. If you're planning on setting up Order Manager and Warehouse Manager at the same time, we recommend importing product data into Order Manager so it can be synced with Warehouse Manager.

Company and Warehouses

Any in-house warehouses created in Order Manager, along with the company name in Settings > Company Info, will automatically sync to Warehouse Manager once the integration is enabled.

3PL and Dropship warehouses will not sync with the Warehouse Manager.

Warehouse Manager

Company Name Client Name
Warehouse Name Location Name
Warehouse Address Location Address

Bins

If you choose the inventory sync direction of Order Manager to Warehouse Manager during the initial setup of the integration, the bins and inventory in Order Manager will be synced with Warehouse Manager.

Products

Products in Order Manager will automatically sync to Warehouse Manager as part records. Before enabling the integration, the integration start date should be set to the date you added product data to Order Manager. This ensures all product data entered in Order Manager syncs to Warehouse Manager.

Warehouse Manager

Product Name Part Description

Vendor Cost Cost

Units of Measure

Vendor products in Order Manager will automatically sync to the part records in Warehouse Manager. When a purchase order is created for a vendor product that has units of measure, the units of measure included on the purchase order will sync to the part record in the Warehouse Manager.

Virtual SKUs

The Virtual SKUs that exist in Order Manager will automatically sync to Warehouse Manager as part records. If you would like to hide virtual SKUs in Warehouse Manager, you can edit the virtual SKUs in Order Manager by adding a suffix or prefix and then create a part view in Warehouse Manager to filter out the virtual SKUs.

For example, if the virtual SKU is 001, add VIRTUAL as the prefix to create VIRTUAL-001 in Order Manager, or as a suffix to create 001-VIRTUAL, and then create a part view in Warehouse Manager where the part name does not contain VIRTUAL.

Bundles / Kits

Bundles and kits created in Order Manager will automatically sync to Warehouse Manager as kits after enabling the integration. By default, bundles or kits included in incoming orders will not be broken down when synced from Order Manager to Warehouse Manager. If you would like bundles to be broken down when syncing orders, you can create an orderbot in Order Manager to break down bundles or enable the backend toggle “breakkitlines” in Warehouse Manager.

Orders

When orders are in the Awaiting Shipment status at an in-house warehouse in Order Manager, the orders will automatically sync to Warehouse Manager.

Inventory

Inventory will only be synced between the Order Manager and Warehouse Manager for mapped warehouses, so warehouse mappings must be configured during the integration setup.

When inventory is updated in Warehouse Manager, the inventory updates are automatically synced to Order Manager. If the inventory sync direction is from the Warehouse Manager to the Order Manager, any inventory that is directly updated in the Order Manager will be overwritten during the next integration sync between the Warehouse Manager and the Order Manager.

While the on-hand inventory for lots and serialized parts will be visible in Order Manager, lot codes and serial numbers will only be visible in Warehouse Manager.
