Understanding Receipt Statuses

 

A receipt has a different status depending on where it is in the receiving process. Each status is explained in sequence below.

Open receipts

After your receipt is saved for the first time, it is considered "Open" until you are finished editing and ready to mark the receipt as Complete.

Customer users can only edit receipts when they are in an Open state.

 

Complete receipts

Once the receipt is ready for processing, it is considered to be "Complete" and ready for you to Mark as Complete on the Edit Receipts page.

If a receipt comes through an API/EDI connection or an automated import, it is automatically marked as Complete.

 

Once a receipt is marked as Complete, the receipt cannot return to an Open state and customer users cannot edit the receipt.

 

 Smart User Tip: With 3PL Warehouse Manager’s Custom Labels feature, you can modify the “Complete” status to a different term that better suits your unique operations. You can do so under Admin > Custom Labels.

Closed receipts

Once a receipt is unloaded and placed appropriately in your warehouse, the receipt is ready to be "Closed".

  • To close a single receipt, click Confirm Receipt on the Edit Receipts page. Confirm that the Arrival Date and charges are accurate, then click Confirm Receipt to receive a confirmation message.

    If you select Auto-allocate to Complete orders, the inventory automatically allocates to Complete orders.

     
  • To close multiple receipts for the same customer, select a receipt from the Find Receipts grid, using < Ctrl > or < Shift > on your keyboard to multi-select, then select Manage > Confirm receipt. The Confirm Receipt dialog box displays—review the Transport Information and Additional Charges, then click Confirm.

To reopen a closed receipt, you must have the following permission assigned to your user role: Receipts Module > Manage Receipts > Re-open Receipts.

 

To reopen a receipt, you must select Manage > Reopen Receipt from the Find Receipts page. (If the option is grayed out, that means inventory has already been allocated to an order and you must unallocate the inventory to reopen.)

Canceled receipts

To cancel a receipt, you must select Manage > Cancel Receipt from the Find Receipts page.

Canceling a receipt cannot be reversed and completely removes the receipt from the system.

 

To cancel a receipt, you must have the following permission assigned to your user role: Receipts Module > Manage Receipts > Cancel Receipts. Note that customer users who are granted this permission are only able to do so if the receipt is still in an open state. Once a receipt is marked as Complete, it must be canceled by a warehouse user.
