This article provides a brief background about QuickBooks Online. This also explains the rationale behind the integration, the requirements of the integration, and the data flow of the integration. To learn how to integrate, please visit the How to Integrate QuickBooks Online and Order Management article.

Understanding QuickBooks Online

QuickBooks Online is a bookkeeping software intended for small businesses; it is a product of Intuit, a software company that creates financial software. Moreover, QuickBooks Online is standard bookkeeping software used by Extensiv customers. QuickBooks Online generally helps our customers manage and generate their financial statements.

Integration of QuickBooks Online and Order Management is available to all users of Order Management.

QuickBooks Online is different from QuickBooks Desktop. QuickBooks Online is a cloud-based tool while the desktop version requires installation in your local computer. The integration only covers QuickBooks Online.

General requirements

  • Must have Extensiv Order Management.
  • Must use the US version of QuickBooks Online.
  • Must transact in US dollars. Cannot pass foreign currency in QuickBooks Online.

Understanding the integration of QuickBooks Online and Order Management

The automation of sales data drives the integration of QuickBooks Online and Order Management. Through the integration, you will no longer create manual exports from your Order Management to QuickBooks Online; this enables you to minimize any human error in your internal processes. Moreover, the integration also helps you to create and manage your accounting statements efficiently.

The data flow from Order Management to QuickBooks Online occurs on a timed sync  through the integration. The integration observes a one-way sync from Order Management to QuickBooks Online; meaning QuickBooks Online cannot send any data to Order Management. The data sent to Order Management is configurable in the integration settings. Users have multiple options to determine the amount of data synced to QuickBooks Online. Check out this document for additional information on what fields sync and the intervals associated.
